Privacy Policy

How your information is used when you get in touch and travel with us.

Last updated: 21 October 2026

Planning a trip means sharing a little about yourself. This policy explains the information involved, why it is needed and how to raise a privacy request.

Who this policy covers

This policy explains how Serengeti Summit Expeditions handles personal information when you use our website, request a quotation, book a journey or subscribe to our updates.

For privacy questions, email info@serengetisummit.com with “Privacy request” in the subject. Independent providers such as banks, payment services and airlines may handle information under their own privacy notices.

Information involved in your trip

Depending on your enquiry or booking, information may include:

  • Your name, email address, telephone number and country of residence.
  • Travel dates, party size, preferences, budget and messages exchanged with us.
  • Traveller identity details required for a specific reservation, permit or travel service.
  • Payment status and transaction references needed to administer a booking.
  • Relevant dietary, accessibility or health information you choose to share for trip arrangements.

Do not send full payment card details or passport copies through an ordinary enquiry form. We will explain when identity documents are needed and agree a suitable way to provide them.

Why information is used

Information is used to answer enquiries, prepare quotations, arrange requested services, communicate about your trip, manage payments and resolve problems. Some records may also be required for accounting, legal obligations and the protection of lawful rights.

The appropriate basis for processing depends on the purpose, such as arranging or performing a booking, meeting a legal obligation, or obtaining your consent where required. Sensitive information needs additional care and an appropriate legal basis.

Sharing information

We do not sell personal information. We share relevant details with the guides, accommodation providers, transport companies, park authorities and other suppliers needed to arrange your trip. Providers supporting our website and communications may process information for those services.

Information may also be disclosed when required by law or a lawful request from a competent authority. We limit sharing to information relevant to the purpose.

If a bank or payment service processes your payment, its own privacy and security terms apply. We do not need to retain full card details for payments handled directly by those providers.

Sensitive information and children

Tell us only the health or accessibility information relevant to planning and delivering your trip. We will explain the purpose and seek consent where it is the required basis. Withdrawing consent can affect arrangements that depend on that information.

Parents or guardians provide and authorise information needed for children travelling with them. The website is intended for adults making travel enquiries and arrangements.

Cookies, website data and external links

Our website may use cookies and similar technologies for site features, usage information and performance. Technical information such as browser details, IP addresses and request logs can be used to operate and protect the website. Embedded services may also use their own technologies.

Where optional technologies require consent, the applicable cookie controls and information explain your choices. You can also manage cookies through your browser settings, although disabling them may affect some features.

Links to maps, social networks, reviews, WhatsApp and other external services lead to providers with their own privacy practices. Review their notices before submitting personal information.

Travel updates and marketing

Booking and enquiry messages relate to the service you request. We send optional promotional messages only where permitted by law and with consent where required. Making an enquiry does not itself subscribe you to a mailing list.

You can ask to stop promotional messages using the unsubscribe option provided or by emailing our team. This does not stop essential messages about an active booking.

Keeping your information safe

We retain personal information for as long as reasonably needed for enquiries, bookings, customer support, accounting, legal obligations and the establishment or defence of lawful claims. The period depends on the record and the purpose.

We take reasonable technical and organisational measures to protect information against loss, misuse, unauthorised access, alteration and disclosure. No online service or electronic transmission can guarantee absolute security.

Where information is processed outside Tanzania, we assess the applicable transfer requirements and safeguards. Contact us to ask about the arrangements relevant to your information.

Your choices and privacy rights

Depending on applicable law and the circumstances, you may request access to your data, correction of inaccurate details, deletion, restriction of processing or a portable copy. You may also object to certain processing, withdraw consent, and raise concerns about decisions made solely by automated processing.

Send your request to info@serengetisummit.com. We may need proportionate information to verify your identity. Rights can have lawful limitations, including where records must be retained. You can also raise a complaint with Tanzania’s Personal Data Protection Commission.

Policy updates and contact

We may update this policy when our services, practices or legal requirements change. The latest version will appear on this page with a revised date. We will give additional notice where required.
