When plans change, here is how we work through the next steps with you.

Please contact us as soon as you know your plans may change. Your booking documents explain the applicable cancellation conditions before you confirm and pay.
Notify us in writing as soon as you need to cancel, using email or another written channel agreed with our team. Include your booking reference, lead traveller’s name, travel dates and the services or travellers affected.
The cancellation date is the date we receive your written notice, subject to applicable law. We will acknowledge your request and explain the next steps. Keep a copy and contact us again if you have not received acknowledgement.

Charges depend on when you cancel, the services already reserved and the supplier conditions disclosed for your booking. Accommodation, park fees, permits, domestic flights, transport, guides and trekking arrangements may each have different cancellation rules.
Any specific cancellation conditions supplied in your quotation, invoice or booking confirmation form part of your agreement and apply to that reservation, subject to applicable law. We will explain the costs affecting your cancellation and the basis of any deduction.
A deposit or advance payment can be used to secure services on your behalf. Payments already committed to reservations with restricted refunds may be partly or wholly unrecoverable.
Any refund is calculated after the deductions permitted by your agreed booking conditions and applicable law. These can include supplier cancellation charges and disclosed payment costs. We will identify affected reservations and explain what can be recovered.
Tell us your preferred new dates or changes to the party as early as possible. Availability, seasonal rates, permits and supplier conditions may affect what is possible.
We will explain the revised arrangements and any additional cost or cancellation charge before you agree to a change. A booking transfer or date change is confirmed only when we provide written confirmation. If one traveller cancels, the price for the remaining party may need to be recalculated and explained.
When a refund is due, we will reconcile the recoverable payments and provide a written calculation of the refund and any agreed, lawful deductions. We will confirm the payment method and expected processing time for your case.
Recovering payments from suppliers can affect processing. Bank charges, payment provider charges and currency conversion differences may also affect the amount received where permitted by your booking terms and applicable law. Contact us if you need a progress update.
Safety concerns, access restrictions, supplier availability or other operational circumstances may require an itinerary change. We will explain significant changes promptly and, where possible, offer a suitable alternative of comparable value.
If we cancel a service and cannot replace it, we will explain the options, including any applicable refund. The agreed booking conditions and applicable law determine your remedies; supplier restrictions do not automatically remove our obligations.
A refund is normally unavailable for services missed because of late arrival, a missed departure, early departure or a decision not to take part in a confirmed activity, subject to your agreed terms and applicable rights.
Severe weather, park or road closures, government restrictions, transport disruption and similar events may affect your itinerary. Contact us promptly. We will consider available alternatives and any recoverable payments under the booking agreement and applicable law.
We strongly recommend travel insurance covering cancellation, interruption, medical treatment, evacuation, baggage and your planned activities. For mountain trips, check that the policy covers the intended altitude. Your insurer determines cover under its policy.
Check the payment schedule, cancellation conditions, supplier restrictions and insurance cover before making a payment. Ask us to clarify anything that is unclear in writing.
This policy should be read with our Terms & Conditions and your booking documents. Later website updates do not by themselves change a confirmed booking. Nothing here limits rights that cannot lawfully be excluded.
Our team can explain anything you would like to check.
